In Zone Enrolment Applications

To be eligible to attend Somerville Intermediate as an in zone student, the student needs to reside within the schools "home" zone, throughout the school term, including weekends. If you are unsure whether you are residing in our school's "home" zone, please check our zone map or in zone street list.

   

For the purpose of enrolment, the home address given MUST be the student's usual place of residence, when the school is open for instruction.

 

 

Ministry of Education Guidelines and Regulations

The Ministry of Education guidelines state that parents should also be informed of the possible consequences of deliberately attempting to gain unfair priority in enrolment by knowingly giving a false address or making an in zone living arrangement which they intend to be only temporary. For example:

  • Renting or residing in zone on a short term basis (any rental agreement must be for a minimum of one year)
  • Arranging temporary board in zone with a relative or friend
  • Using an in zone address of a relative or friend as an "address of convenience", with no intention of living there on a permanent basis.

If there is a Legal Guardianship Order/Authorised Primary Duty of Care in place, this must be a long-standing arrangement and not created solely for the purpose of gaining entry to the school. The Legal Guardianship Order should be attached with the enrolment. If Authorised Primaryt Duty of Care, written evidence from a NZ lawyer must be provided and attached, substantiating the legality and existing long-term nature of this relationship.

 

If the Board has reasonable grounds for believing that the given in zone address will not be a genuine ongoing living arrangement, the Board may decline the application for enrolment.

 

After attendance has begun, if the school learns that the student no longer resides at the in zone address which was given at the time of application, and we have reasonable grounds to believe that the in zone address has been used for the purpose of unfairly gaining priority of enrolment, then the Board may annul the enrolment.

 

 

Documentation Required 

When completing the online enrolment application form, please ensure you have the following supporting documentation ready to be uploaded with the form.

  • New Zealand Citizens - NZ birth certificate or NZ passport or Citizenship certificate
  • Non New Zealand Citizens - Passport and residency visa or parent's work visa AND child's student visa
  • Your child's immunisation certificate
  • A copy of your child's most recent report.

 

TWO proof of residence documents that clearly show the parent/guardian's name and in zone address. ONLY the following documents are accepted:

  • A current Sale and Purchase Agreement or a current Tenancy Agreement (showing a 12 month fixed term in a council approved rateable dwelling)
  • A current electricity or gas account in the name of the parent/guardian showing the in zone mailing and supply address
  • A current Watercare account in the name of the parent/guardian showing the in zone mailing and supply address
  • A current Internet/Broadband account in the name of the parent/guardian showing the in zone mailing and supply address

A letter from a New Zealand lawyer, along with further documentation confirming your living arrangements, may be required if the above documents are not provided.

Out of Zone Enrolment Applications

Out of Zone enrolment applications for 2024 will be accepted from the start of Term 3, Monday 17 July 2023.

 

Closing Date for enrolment applications - 4.00 pm Wednesday 30 August 2023 

No out of zone enrolment applications will be accepted into the ballot after the closing date.

Ballot Conducted - Wednesday 6 September 2023

 

A ballot is held for students who wish to apply to attend as an out of zone student the following year. The exact number of out of zone placements will be determined by the Somerville Intermediate School Board and is dependent on the number of applications received from students living within the Somerville Intermediate "home" zone, who enrol as in zone students.

 

The Amendment Act 2010 states that applications will be processed in order of priority.

 

Priority 1 is not applicable at Somerville Intermediate as the school does not run a special programme.

Priority 2 will be given to applicants who are siblings of current students.

Priority 3 will be given to applicants who are siblings of former students.

Priority 4 will be given to applicants who are children of former students.

Priority 5 will be given to applicants who are children of board employees.

Priority 6 will be given to all other applicants.

  

All families will be notified of the outcome of the ballot within 24 hours of the ballot taking place. Notifications will be sent by email to Caregiver 1, as nominated on the online enrolment application.

 

If applicants are successful in the first instance:

  • Applicants will have 14 days to confirm their place;

  • If applicants decline their place or do not reply to the school to confirm their place within 14 days, applicants will be removed from the list and the space will be offered to the next applicant on the ballot.

If applicants are unsuccessful in the first instance:

  • Applicants will be given their number in the ballot, which becomes their waiting list number;
  • Applicants who are offered a place at a later stage will have 3 working days from the date of notification to confirm their acceptance, before their place is offered to the next applicant on the waiting list.

Enrolment Privacy Statement 

We only keep information for as long as it is needed, and for the purposes for which it was obtained. Information is stored in ENROL, the Ministry of Education school database. When a student moves to a new school and their records are requested, we forward the relevant information that we hold. We securely dispose of personal information that is no longer needed. Information is only used for the purposes for which it was obtained, except in certain circumstances (for example, for statistical purposes where the person's identity is not disclosed). We safeguard students' information and we do not release that information to third parties unless we are allowed, or required to, release information by law. This covers disclosure to persons other than those able to legitimately access material about their own children.

 

As a general rule, information about any person is not given to a third party without the person's knowledge, unless: the information is already publicly available, it is being passed on in connection with a purpose for which it was obtained, for example, to the student's new school, the right to privacy is over-ridden by other legislation, it is necessary for the protection of individual or public health and safety. You have the right to access the information that the school holds about your child.

 

If you do not agree to your child's information being passed on to their next school, they may not be able to gain early access to support and resources available to them. If you do not consent to your child's information being passed on to their next school or wish to withdraw consent, please contact the school office.
